Document management helps you lower your costs and enjoy greater convenience by storing all of your documents online. You can store computer files, scan paper documents, receive faxes, attach documents to records, and manage document batches. By using document management and faxing, you can eliminate the paper and access your documents from any location.
Store Computer Files
You can use Kareo's document management system to upload and store computer files online. You can store files in any file format, including Microsoft Word, Adobe PDF, Microsoft Excel, BMP, JPEG, and so much more. You can access your files anytime by downloading them to your computer and modifying your files on your PC. Finally, you can save and upload any changes you make automatically to Kareo.
Scan Paper Documents
You can scan documents directly into Kareo using our native support for any Windows-compatible, TWAIN-compliant scanner. You can enter information to describe your document. You can adjust the page size, color mode, resolution, brightness, or contrast. You can scan single-sided or double-sided. Finally, you can preview the pages of your document as they are scanned.
Receive and Scan Faxes
Every practice is assigned a unique fax number that you can use to fax documents directly into your Kareo account. Your fax number will be displayed on your practice dashboard so that all of your users know where to fax documents and the fax number remains active for the life of your Kareo subscription. You can send a fax to your Kareo fax number using any standard fax machine and Kareo receives the fax, automatically converts the fax into a scanned document, and delivers the new fax to the right practice database. Once you receive a fax, you can use that faxed document just like you would use any other scanned document within Kareo's web-based medical billing software. You can view faxes on screen and zoom-in and zoom-out, shrink pages to fit your screen, and rotate pages. You can print entire faxes or specific pages of a fax. Store your faxes as batches or index and attach pages to individual records. Finally, you can also add notes and route the faxes to other users in your organization for further processing.
View and Print Documents
You can view your scanned documents using our built-in document viewer. View and navigate amongst the pages of your document. You can zoom-in or zoom-out, shrink your page to fit the screen, or rotate pages of your document. You can flip Kareo's web-based medical billing software into full-screen mode for optimum on-screen viewing. You can also add notes to your document or the individual pages of your document.
Attach Documents to Records
You can attach scanned documents or computer files to every major record type in Kareo. You can attach copies of driver's licenses, copies of insurance cards, medical reports, and more to patient records. You can attach written authorizations or other information to appointment records. You can scan in copies of explanation of benefits (EOB) reports and checks and attach them to payment records. You can even scan and attach insurance contracts and credentialing information to your provider records.
Manage and Organize Document Batches
Many companies organize charges and payments into paper batches. You can scan daily or weekly batches into Kareo's web-based medical billing software. For maximum efficiency, you can optionally use dual screen monitors to enter your data directly from batches viewed on-screen. Once you're done entering a batch, you can link individual pages, or groups of pages, to the corresponding records. For examples, you could link an encounter form to the encounter you entered, or link a copy of an EOB to the payment posted. This enables you to quickly access scanned document directly from the corresponding records you entered into Kareo.
