Kareo is a Windows application that provides medical practices and billing companies with an easy-to-use system for patient registration and scheduling, encounter and claim submission, payment processing, document management and real-time reporting. In addition, built-in features have been specifically designed to reduce claim rejections and improve your billing process. For billing office administrators, Kareo offers tools to set up security groups, codes, insurance companies and insurance plans, and then manage those settings across all of your employees and client practices.

The New Practice Setup Wizard helps you easily configure one or more practices so you can begin the billing process quickly. This wizard guides you step-by-step through all the necessary data fields for setting up a practice. You'll be up and running in no time.
Master and Practice-Specific Lists
Set up and manage the list of providers, service locations, departments, contracts, encounter forms, procedure macros, referring physicians, and record categories. You can also configure practice-specific settings for electronic claims, patient statements, etc. Set up and manage the master list of attorneys, employers, referring physicians and Workers Comp Offices used when entering patient demographics or when entering cases related to Workers' Comp claims. Other custom lists include user-defined payer scenarios, payment categories, and collection categories.
Medical and billing office staff can start the day with an interactive dashboard that provides a snapshot of a medical practice. Workflow shortcuts provide quick access to key functions. To-do items track work and guide you through business processes. Key performance indicators and charts deliver real-time information. The Payment Velocity indicator and the A/R Aging and Income Analysis charts help you measure and improve the health of a practice.
The Kareo application provides a powerful scheduling system for managing appointments. You get daily, weekly, and monthly calendar views with color-coded appointments organized by provider, resource, and service location. Use appointment reasons to configure the providers, resources and durations of your appointment types. You can easily set up the office hours, service locations and custom scheduling resources. You can even use advanced reporting tools to print custom calendars and encounter forms. It provides the ultimate control of the most precious resource -- time.
Manage the list of code sets or take advantage of our subscription services to get regularly updated lists of procedure, diagnosis, and other important code sets. You can also enter your own codes at any time.
Use simple, template-based encounters to capture patient visits and submit treatment information for immediate billing. Built-in messaging enables front and back-office staff to communicate, exchange information, and resolve errors quickly. You can also conveniently track the flow of encounters through each stage of the billing process (data entry, submission, approval, billing and collection).
You can manage a master insurance list that can be shared across all practices under your management. This allows you to set up paper and electronic claim settings once and use them for your entire organization. You can also use our tools to review new entries by front-office users of one practice before approving and sharing a new insurance company for use by all practices.
We've taken the hassle out of enrolling and sending electronic claims. You get immediate access to over 3,000 payers currently accepting electronic claims from Kareo. It is easy to set up new payers and track enrollment status. You get daily, weekly, and monthly claim submission reports. Clearinghouse Reports Management
Review electronic reports from the clearinghouse. These reports are transmitted from the clearinghouse to the billing company on a daily, weekly, or monthly basis depending on the type of report. You can search, review, print, or save reports to file from this area of the application.
Patient Record Management
Enter patient demographics and insurance information quickly and easily using the Kareo application. We also provide tools for viewing detailed patient account information and verifying insurance eligibility for individual patients within the system.
Mailing your own patient statements is time consuming and expensive. That's why we offer patient statement services you can use to prepare your patient statements and submit them to us for printing and mailing within 24 hours. It is very easy, saves you time, and lowers your patient statement costs.
The posting of payments within Kareo is easily done in one of two ways: Manually if payments are received through the mail; automatically if you are enrolled in electronic claims submission. Electronic claim submission allows you to automate payment posting from those insurance companies that accept electronic claims. This dramatically reduces the time the billing staff spends posting payments. You receive electronic explanations of payments providing details on how claims were paid and/or why they were denied. You can view and print the Electronic Remittance Advice (ERA) reports. Use the automatic payment posting feature to reconcile payments, track adjustments and flag denials.
Integrated Credit Card Processing
Integrated credit card processing simplifies the collections process. With this feature you can accept credit card and electronic check payments from patients, then apply them to copays and deductibles, all within the Kareo application.
The document management feature enables you to store electronic copies of your documents online. Several records in the system, including patient and encounter records, enable you to attach files from your local hard drive to specific records in the system. The document management features of each record work the same way. You can take advantage of the document management features in many ways, including attaching copies of insurance cards to patient records or attaching copies of Superbills to encounters.
A powerful reporting engine provides immediate access to over 50 professional-grade reports. You can customize every report by date range, add or remove columns and filter by custom parameters. Preview your reports on-screen and take advantage of impressive drill-down capabilities. Print your reports or save them to disk in Microsoft Excel or Adobe PDF formats. It provides real-time information in a clean, simple format that is easy-to-use.
Online Help is built in to the Kareo application and provides step-by-step instructions on all features and functionality in the application. You can also access the Help & Support website from within the application which provides a library of self-help guides, training videos, and access to a community forum.
