Track Claims

Kareo has recently made several modifications to the Find Claims task (or browser) to simplify the way claims are managed. First, the claim status categories (e.g., Ready to print paper claims, Ready to submit electronic claims, Rejections, etc.) have been reorganized into a single list that can more easily be used when finding claims. Second, there are now keyboard shortcuts and a right-click menu so that you can more quickly perform any action on a claim; such as printing a claim, entering a note, adding an adjustment, etc. Third, you can now select multiple claims and rebill them all in a single action. Finally, the size of the claims list has been increased from 20 to 50 records per page in the result set.

Selecting a claim or group of claims, and then clicking the Action button on the bottom of the Claims browser will display a pop-up menu of the actions that can be performed. Note that you can also select a claim or group of claims and right-click to display that same pop-up menu.

Left-clicking on most items within the Action menu will open the Transaction Window for the specific action you wish to perform. The exception to this is when you wish to print a single claim. To print a single claim, select the claim and then select "Print paper claim" from the Action menu.

The Print Claims button on the Task Button Bar of the browser remains the same. Clicking this button opens the print wizard, which allows you to use the filtering options to select the group of claims you wish to print.

Follow these steps to review and manage your claims:

1.  On the Encounters menu, click Track Claim Status. This opens the Find Claim task (or browser); which displays a list of all claims for the medical practice. Note that the claims are listed in descending order; first by Service Date, then by Encounter ID, then by Claim ID.

2.  To list only claims that fall within a certain status, select the status from the drop-down list in first field of the search bar and then click the Find Now button.

Below is a definition of each of the status levels:

  • All claims

  • Ready to Print Paper Claims - Claims ready to be printed and sent on paper.

  • Electronic Claims to Submit - Claims ready to submit electronically.

  • Ready for Patient Statements - Patient Statements to send.

  • Rejections - Claims that have not been either delivered or accepted by the payer.

  • Denials - Claims that have been delivered but which payment has been denied by the payer.

  • No Response - Claims for which no response was received by the payer within the contractual time frame.

  • Pending Insurance - Claims pending a response from insurance.

  • Pending Patient - Claims pending a response from the patient.

  • Completed - Claims that have been paid, settled, or voided.
