Process Document
Use the Process Document task to attach one or more pages of a scanned or faxed document to individual records in the system (e.g., patient record, encounter record, provider record, appointment record, etc.).
Follow these steps to process the pages of a document:
1. On the Documents menu, click Find Documents. This opens the Find Document task (or browser).
2. Use the search feature if necessary to locate a document that has been previously scanned and or faxed to the system. (For help in locating a document, refer to the relevant steps in Find Document.)
3. Once you locate the document to be processed, select the document by double-clicking on the file or by clicking once on the file, and then click Open on the Task Button Bar. This opens the Edit Document task.

4. Click the Process button on the Task Button Bar. This opens the Process Document task. This task is separated into several sections, as described below:
At the top of the task are brief instructions for processing the document.
Just below the Instructions, you will see a checkbox labeled, "Show unprocessed pages only." The system defaults to listing only unprocessed pages. Once a page has been processed, it will be dropped off the paged list and be hidden from view. (To see all pages in a document, both processed and unprocessed, simply clear the checkbox.)
A list of numbered pages included in the document will be shown in the upper left of the task. To the left of each of the numbered pages is a checkbox. When first opening the document, the system automatically checks Page 1, and shows an image of that page in the viewing area of the task. If you mouse over the image on the right side of the task, the mouse pointer changes to a magnifying glass. Left-clicking with your mouse zooms in increments of 25%, right-clicking zooms out by increments of 25%.
Just below the paged list is where you will select the options for processing the various pages within the document.
5. To process the pages within the document, do the following:
With your left mouse button, select one or more pages that you wish to attach to a specific record.
Action: Select the action from the drop-down list (e.g., Attach to New Record, Attach to Existing Record, or Change Page Status).
Label: Select the document label from the drop-down list (e.g., Explanation of Benefits, Insurance Correspondence, Medical Report, Patient Demographics, Patient Insurance Card, etc.).
Name: Enter a name for the document.
Record type: Select the record type from the drop-down list (e.g., Appointment Record, Claim Record, Encounter, Patient, Payment, or Provider).
Once you select a record type, an additional field will appear just below the Record Type box, which will allow you to select the specific record to attach the document to (For example, if you select "Patient" from the drop-down list in the Record Type box, a Patient button and field will appear just below the Record Type box. Clicking the Patient button, will display a list of the patients associated with the practice. Use the search feature within the Patient list to select the patient record that you wish to attach the document to. Once the patient is located and selected, you will be returned to the Process Document task, and the name field will be populated with the name of the patient selected.
Page Status: Select the page status from the drop-down list (e.g., Unprocessed, Error, or Normal).
Notes: Enter any notes you wish to add to the document being processed.
Click the OK button on the Task Button Bar to process the selected pages. Note: Once the selected pages have been processed, they will be hidden from view within the paged listing. If you wish to view these pages again, clear the Show unprocessed pages only checkbox on the upper left of the task.
Repeat the above steps to process additional pages of the Document.
6. Once all pages have been processed, click the Close button on the Task Button Bar.
7. To close the Find Document browser, press the Esc key on your keyboard.
