Company-Wide Clearinghouse Reports
Use the Clearinghouse Reports task to review electronic reports from the clearinghouse for all of your client practices. These reports are transmitted from the clearinghouse to the billing company on a daily, weekly, or monthly basis depending on the type of report.
Note that when an administrator or other designated business office staff member accesses "All Clearinghouse Reports" from the Settings menu, the clearinghouse reports for the entire organization will be displayed. These are company-wide clearinghouse reports.
But on the other hand, a user with appropriate permissions can log into a specific practice and access clearinghouse reports from the Encounters menu. These reports are practice-specific clearinghouse reports; meaning that only reports specific to the practice that the user is logged into will be displayed, and only if the user has the appropriate permission to view or work with clearinghouse reports.
It will depend entirely on the permissions granted to the user by the application administrator as to what clearinghouse reports the person will have access. For example, certain billing office users may only have access to practice-specific clearinghouse reports located on the Encounter menu of a specific practice; but a billing office administrator may have access to all clearinghouse reports.
With that being said, the below instructions explain how to access and view company-wide clearinghouse reports. Note that when accessing company-wide clearinghouse reports, you can view a report, save the report to your local hard drive, or print a report, but you will not be able to post payments from an ERA report unless you first log into a practice, and then access the practice-specific clearinghouse reports from the Encounters menu of the practice.

To access company-wide clearinghouse reports, do the following:
1. On the Settings menu, click Company>All Clearinghouse Reports. This opens the Clearinghouse Reports task (or browser), which lists all reports transmitted to your organization by the clearinghouse. (Note that this menu item will only be visible if your user permissions allow you to access company-wide clearinghouse reports.)
2. Just below the Task Title Bar are tabbed sections of the various types of clearinghouse reports. By selecting the appropriate tab, you can view a list of all Claim Processing reports, Electronic Remittance reports, Patient Statement batch reports, and 'Other' miscellaneous reports. By selecting the "All" tab, you can view a list of all clearinghouse reports.
3. The business office is responsible for monitoring clearinghouse reports on a daily basis, and taking appropriate action. Below is a definition of each of the tabbed sections.
All - This section contains a list of all clearinghouse reports company-wide.
Claim Processing - This section contains a list of all daily claims reports (verification reports from the clearinghouse indicating receipt of claims), internal validation reports, and payer responses (acknowledgment/acceptance notifications from insurance companies).
Electronic Remittance- This section contains a list of all Electronic Remittance Advice (ERA) notifications and Electronic Funds Transfer (EFT Check) reports. ERAs are used by the business office to electronically post payments to patient accounts.
Patient Statements - This section contains a list of all patient statement batch reports.
Other Reports - This section contains a list of all monthly reports, payer-provided EOBs, as well as other miscellaneous reports. Note that EOBs contain the same information that is included in the ERAs listed under the "Electronic Remittance" tab; but are in the original format provided by the payer. EOBs were recently moved to the "Other Reports" tab to help reduce the possibility of double-posting to an account. Users can still print these EOBs for their records, but these reports would not normally be used to post payments since the ERAs are provided for that purpose.
4. To close the Clearinghouse Reports browser, press the Esc key on your keyboard.
