Tracking Copays to Be Waived in Kareo
Sometimes our doctor will tell us to waive a patient copay. In order to keep track of this, I take a couple steps:
1. Go to patient account and enter an alert stating: “No copay for DOS ______ per Dr. (Name).” Make sure to check the box to appear when posting payments.
2. I go to “Track claim status” and enter a note on that DOS saying “No copay per Dr. (Name).”
That way when I go to post a payment, I will see the alert and/or note and I do a courtesy adjustment. This has helped avoid the embarrassment of trying to collect a balance from a patient when they have been told it would be written off.

Hi,
Isn’t it against contractual obligations to write off Co-pays for both the patient and the provider?
Thanks!

Hi, Tambara–thanks for your comment; you make a good point. I would think it would depend on your contract, but would love to hear from some others on this point. Any other comments?

Waiving a copay is at the doctors discretion; it can be done whether you are abiding by contract that states to collect copays and deductibles. This is doctor specific and is not against any rules or regulations or contracts if the doctor opts out of receiving that money. Hope that helps.
