Split-Screen Provider Appointment Calendars!

Now you can view split-screen daily or weekly appointment calendars that show multiple providers side-by-side within the same view. Simply use the checkboxes in the list of providers to select more than one provider or (scheduling resource) and the calendar will display a split-screen view showing side-by-side calendars. This feature saves time for schedulers in group practices that need to coordinate patient appointments with multiple providers, such as a physician and a physician's assistant.

Real-Time Insurance Eligibility Checks through Gateway EDI
Insurance Eligibility via Gateway EDI

If you use Gateway EDI as your clearinghouse through Kareo, you can now perform real-time insurance eligibility checks to payers through Kareo's updated electronic real-time interface with Gateway EDI. To set up eligibility checks, you must enroll using Kareo's web-based enrollment form, send any applicable agreements directly to the payers, and configure your provider and group numbers for eligibility. Once you complete the setup process, you can perform eligibility checks by selecting the menu item Patients > Check Patient Eligibility. Please note that insurance eligibility checks are only available with the Kareo Complete & Max subscription levels.

New Payer Search with Eligibility Links

Now you can use the Kareo payer search to find a list of insurance companies that support real-time insurance eligibility checks for both of our two primary clearinghouses; Gateway EDI and Capario. For the few insurance companies that require you to file an enrollment agreement for eligibility services, we also now provide links that enable you to download the eligibility enrollment agreements directly from the Kareo website. Like other enrollment agreements, you must complete, sign, and send the eligibility enrollment agreements directly to insurance companies.

Submit Support Cases Directly from Kareo
Submit a Support Case

Kareo has historically relied primarily on email to provide support to customers. But due to increasingly aggressive junk e-mail filters and the difficulty of uniquely identifying customers by their email addresses, Kareo has decided to transition away from email and to a new feature that enables you to submit a support case directly from the Kareo application. To submit a new support case using this method, select the menu item Help > Submit a Support Case. You will have an opportunity to update your contact information, select the type of support case you're submitting, and read instructions on the information we need in order to help you with each type of case. Once you submit your support case, you will receive updates by email and those updates will also be posted directly to your account where you can access a list of currently outstanding support cases through the menu item Help > View Support Cases.

Change Payment Information & Mailing Address for your Kareo Account
Chnage Mailing Address and Billing Information

You can now manage the payment information and mailing address associated with your Kareo account. To change your credit card or direct debit payment information or related payment address, select the menu item Help > Change Payment Information. To change the address that Kareo uses to send your monthly invoices, select the menu item Help > Change Billing Address.

New Provider Utilization and Unscheduled Analysis Reports

If you're using time blocks as templates for your providers' schedules, you can now access two new reports that offer insight on the utilization of your providers' time. The new Provider Utilization report shows the scheduled, unscheduled, and total hours worked by your providers organized by time block. The new Unscheduled Analysis report shows reasons for your providers' unscheduled office time. You can access both reports from the menu item Reports > Appointments. These two new reports help you identify missed revenue opportunities or scheduling problems that you can resolve to improve the performance of your practice.

Now you can use Relative Value Units (RVUs) to measure the productivity of your providers. Under the Resource-Based Relative Value System, Medicare assigns an RVU to each procedure code in order to estimate the relative complexity of one procedure to another. The RVU system was originally designed as a number used in formulas to calculate the Medicare reimbursement amount for each procedure. However, many practices now use the RVU system as a way to measure the relative productivity of one provider to another. In Kareo, you can now configure your Practice Standard fee schedule settings to include the three components parts of the RVU; the Work RVU, the Practice Expense RVU, and the Malpractice RVU. Once you enter these settings, you can view total RVUs for each provider on the Provider Productivity report that is accessible from the menu item Reports > Productivity & Analysis.

New Missing Documents Report

Many Kareo customers have used our document management system to transition their medical office and medical billing operations to a paperless workflow. Some of these customers require their staff to scan paper documents to specific types of records. For example, attaching a transcribed medical report to every appointment or a scanned copy of a patient's insurance card to every patient record. You can now use the new Missing Documents report to verify that your staff is following your document processing policies. Accessible from the Reports > Documents menu item, the Missing Documents report shows a list of patient, appointment, encounter, or payment records that do not have a corresponding document attached.

More Convenient Save and Rebill Process for Encounters
Save and Rebill

In the past, you may have noticed that it can be inconvenient to rebill all of the service lines associated with an Encounter. We have improved the process of saving and rebilling Encounters with this release. Here is how this now works. First, you receive a clearinghouse report that displays a rejection message with information on what must be changed before you resubmit your claims. Second, you click on the hyperlink on the report to open the specific Encounter at issue. Finally, you can make the correction directly on the Encounter record and click the Save & Rebill button. This new feature saves the changes to your Encounter and rebills all of the service lines associated with the Encounter.

Now you can limit your paper claim printing to specific dates of service or a range of dates. Simply select the menu item Encounters > Print Paper Claims, enter the dates of service you would like to print, and click the Print Claims button. Then Kareo will limit the claims printed by date of service.

In the past, submitting electronic claims was an all or nothing proposition. You either submitted all of the ready electronic claims or none at all. But now, you can use more advanced selection criteria in submitting electronic claims that are ready for submission to the clearinghouse. The available selection criteria include a date of service range, insurance company, patient, or payer scenario. To submit your electronic claims using the new options, click the new menu item Encounters > Submit Electronic claims, enter your selection criteria, and click the Submit Claims button. Only claims that match your selection criteria will be submitted to the clearinghouse for processing.

Patient Records Now Show All Documents Related to Patient, by Default

The documents tab of the Patient record included a checkbox that allows you to show all documents related to the patient, even if the documents were not attached specifically to the Patient record. Prior to this release, this box was unchecked by default. With this release, the box is now checked by default and will automatically show all documents related to the patient without extra clicks.
