Amy Burney: Excellent organization and communication are essential. That’s what I get with Kareo.
Amy Burney knows a thing or two about multi-tasking. In her current capacity, she serves not only as office manager but as the primary biller for four separate practices. It’s a position she couldn’t manage, she says, if she weren’t organized—and had the right resources backing her up.
“I had served as office manager for a pediatrician, and he had a primary care colleague who was using the same medical billing service,” she explains. “When the billing service went out of business in 2010, they decided to open their own practice management firm and I transitioned into that company.
“I’ve been in the medical field for ten years in differing roles,” she states. Although she had never done billing before, Amy had to work closely with the billing service in the pediatrician’s practice and that gave her enough exposure to billing to grasp the main concepts. “Just as the business was transitioning, one of the physicians came to me and asked why they weren’t making much money, with the office as busy as it was. One of the doctors learned about Kareo and decided that was the system he was going to use. When I saw what it could do, it made perfect sense to me.”
Because Amy had been using a cumbersome software program for billing, she was curious about Kareo. When she logged on to check it out, she was immediately impressed with how user-friendly Kareo was. “With the old system, I had to review an 800-page clearinghouse report that combined claims submittals from four practices. They weren’t even batched together by practice. I didn’t know there was a better way,” she declares. Then she saw how Kareo could summon all outstanding claims to pop up on a single screen, organized by status. “I just went, ‘Duh!’” After that, Amy was sold.
Getting started on Kareo was a simple process for Amy. She has been on it now since June 2010. “I set it up myself and was starting to bill within ten days,” she says. “I love it. You can log onto your homepage and see your payment velocity, your receipts for the month, progress toward your goals—you almost had to be a genius to pull up those reports on our old system!”
Even before she started using Kareo, Amy felt other systems hid a lot of data that made seeing the true collections picture difficult. She feels that is why the doctors were left wondering why they were working so hard for so little money.
“On our old software, lots of important details would get lost or were missing and nothing flagged the omissions,” she asserts. “One office is still on paper bills and I see that happen even now. Those omissions will trigger denials and hurt your cash flow.” The ease of posting payments is another key feature that Amy appreciates—and saves her a lot of time. “Before, I would have to post everything line by line. With Kareo, it’s a simple and organized process.”
Organization—and communication—is what allows Amy to manage four practices in states other than where she resides. She just moved to Raleigh, NC, while the offices she manages are in Georgia and Texas. “I have two key people that I rely on to keep things running on-site,” she notes. “They know how I like things to run and they understand my expectations as their manager.” Amy says she can tell by the detail on working claims if one of her offices has been short-staffed on a given day. Kareo’s claim submittal process makes it easy for her to see what’s missing. “I can’t stress enough how important good communication is, and Kareo really helps with that. Honestly, you couldn’t pay me to go back to any other system.”
