Kareo Demo FAQs #2: Cost of Updates, Training and More

Kareo provides regular demo webinars to prospective clients interested in our cloud-based software-as-a-service. Here is a sampling of the questions that were raised about Kareo during recent demo webinars. Sign up now for our next demo webinar

Q. How often is Kareo updated and what is the cost for updates?

Kareo is a web—based system and updates are pushed out every 8-10 weeks with new features—and there is no cost. The updates are automatic, and will include the update for 5010.

Q. What is the cost of your training?

Training is included in your subscription—there is no additional cost. Also, training is offered for one month after signup and includes free phone support and live chat. The training< includes a series of 10 live webinars, self-paced videotaped training, and written guides.

Q. How does Kareo keep our data secure?

Our servers are not located at Kareo. We use a major data center that has a high level of security, such as retinal scans and full generator back-up systems totally impervious to hackers and attacks or fire.

Q. Who does Kareo use for its clearinghouse?

Kareo uses two clearinghouse partners, Gateway EDI and Capario. We have bi-directional data integration with both companies that allows us to push and pull information from their servers. For users, that means all the information is presented right on Kareo—no need to log onto their system to reconcile accounts.

Q. Can we use our current credit card scanner to accept payments?

Kareo uses a specific scanner that was designed to interface with our system. It is a USB machine that plugs into your computer, and can be purchased for $79.

Q. Is there an additional charge to process credit card payments?

Yes, Kareo uses a company called InstaMed to process credit card payments. The cost is $29.95 per month and it accepts all major credit cards. Standard merchant fees would apply, depending on the cards you decide to accept.

Q. How is HIPAA compliance handled through Kareo?

Kareo has a number of security features that help make it HIPAA compliant. As a web-based system, Kareo is accessed via logins and passwords, so the information does not reside on your computer. There are automatic log-outs that you can set up if you often need to leave your computer. There are also permission levels that allow you to set up user accounts and limit access as appropriate.

Q. Can you import patient information from other systems directly into Kareo?

Yes, we can. We have an optional patient import service. If you can provide a database file such as an excel file with patient demographics, insurance information, balances and referring providers, we can import this information into Kareo for you. We cannot import outstanding accounts receivables or claims history—no systems do that. For those practices with a large number of return patients, this may make sense. It’s a $1500 one-time fee.

Q. Can patient statements be sent all at once or do they have to be sent individually?

Kareo’s mailing service allows you click “submit” and send 150 statements all at once. The majority of Kareo clients use this feature. But Kareo also allows you to individually print and mail statements manually.

Q. What internet connection requirements are needed to use Kareo?

A high-speed internet connection is recommended, such as DSL or cable.

Common Kareo Customer-Support Issues and How to Resolve Them: Part I, Setting Up Insurance

In previous posts on this blog, we’ve written about Kareo’s broad range of online customer-support resources, which are an essential part of Kareo’s total customer-support offering. In fact, our customer-support specialists find that the online resources are often the most powerful tool at their disposal to help medical billing staffers overcome their challenges and get the full benefit of their Kareo medical billing software. With that in mind, we wanted to begin covering the most common issues that Kareo users face… and how our customer-support personnel and online resources combine to provide the needed solutions.

The most common issue: setting up insurance companies & plans

One of the most common challenges — if not the most common challenge — we encounter in the Kareo customer support offices is how to set up insurance. It’s no secret, of course, that medical insurance is central to healthcare, to every patient visit and to medical billing. So it is also of central significance to medical billing software, including Kareo.

Setting up insurance involves two key aspects: (1) The insurance company and, (2) the individual plans offered. This two-part setup is one part of the challenge for Kareo users, particularly new users. This brings us to another reason why insurance setup is a problem: Other software packages. While insurance setup certainly can frustrate new billers, veteran billers who have used other software packages are also prone to frustration. A common complaint our medical billing support personnel hear is “My old software used to do it differently.”

But have no fear. We can help, and our online resources are likely to be all the help you will need.

For insurance-setup issues, Kareo supports you in several ways

When Kareo customers, particularly new medical billers, are frustrated as they set up insurances within the Kareo software, our customer-support pros often refer them to our online videos. For most difficulties related to insurance setup, these are the videos Kareo recommends watching:

We also recommend that you take notes while watching these videos. But don’t let that frighten you! Most of the time, our customer support professionals find that these videos quickly help Kareo medical billing software users resolve their issues.

In short, the online resources and videos can usually help resolve any challenges with insurance setup. But there are numerous other options, and Kareo is committed to supporting its customers and helping them maximize the use and benefits of the software.

Kareo customers have access to email support and chat support and customers within 30 days of their implementation, or those who have purchased a phone support plan, have telephone support. But the fact is that most Kareo medical billing software customers are able to resolve their problems by referencing the online support tools. And this is certainly true when it comes to insurance setup.

Frequently Asked Questions About Kareo: We’ve Got Answers!

Q. Does Kareo offer any discounts to non-MD clients?

A. Yes. For registered nurses, physician assistants, licensed social workers, therapists and any other professionals at a non-doctor level, we offer a 50 percent discount when you have more than one provider.

Q. Is the clearinghouse feature included as part of our agreement with Kareo?

A. Yes, it is bundled in with the total price. With the four packages we offer, three of the four have unlimited electronic claims submissions and remittances. Two of our packages also include unlimited electronic eligibility checking. You don’t pay a separate fee.

Q: We already submit claims electronically with Medicare. Do we have to start the process all over again on Kareo? I’m concerned about a revenue lapse during the transition.

A: Most government programs such as Medicare and Medicaid require enrollment regardless of which claims submission system you are using. When you sign up with Kareo, we have an enrollment department and implementation team that will walk new clients through the set-up process as the enrollment progresses through Medicare. That will take about 2- 4 weeks before you are set up to submit claims electronically. We advise our clients to keep their current system while their enrollment is being processed. That way, there is no lapse in payments at all. Most commercial payors do not require enrollment and Kareo clients are usually set up to submit claims to within 48 hours.

Q. Can you check a previous month’s eligibility?

A: Kareo saves a copy of the eligibility information, so you can see the history of the eligibility.

Q. Can eligibility reports be customized to a specialty?

A: Eligibility reports come from the payor, so they are all a bit different. Some payors break down specialty-specific benefits, while others simply list co-pay, deducible etc. We work with more than 10,000 insurance companies through our two clearinghouse partners. We have asked each one to provide a copy of their particular form and have loaded those onto Kareo for you. If you need specialty-specific information on your reports, please consult the payor with your request.

Q. Will Kareo be 5010 compliant?

A: Yes. Not only is the Kareo software being updated to be 5010 compliant, we have confirmed that our two clearinghouse partners can also translate 4010 claims into 5010 claims and vice versa, as well. You can read more about Kareo’s 5010 readiness now.

Q. Is Kareo integrated with any EHR systems?

A. Yes, Kareo also has developed integrations to several third‐party electronic health record (EHR) solutions: When you sign up for Kareo, you have the option of automatically enrolling in a free Practice Fusion EHR account, a free, certified, web‐based EHR system that was developed from the real workflows of office‐based physicians. Quest Diagnostics’ EHR, Care 360, is a certified, web‐based, modular EHR solution that allows physicians to transition key activities from paper to electronic management in a step‐wise approach. WebPT is the leading cloud‐based physical therapy EMR and documentation software used by over 7,500 therapists, and Modernizing Medicine’s Electronic Medical Assistant (EMA) is a system used by many dermatologists. Kareo also integrates with MIE’s Minimally Invasive WebChartNow, VitalHealth and MD‐IT. New integrations are continuously in development. Our website lists the many EHRs compatible with Kareo. Using any of these systems completely eliminates the need to re-enter information from one system into another, since the data flows seamlessly between them.

Q. Can Kareo keep track of patient payments?

A: Yes, Kareo allows you to post payments that are smaller than the patient’s balance and it tracks the balance for you. Kareo also has a patient payment portal in the works to make this process even easier. Look for that in the near future.
